About the Role

Main Job Purpose

Reporting to the Strategic Pursuits Director, this role is responsible for supporting Crown Agents to win and deliver projects by primarily contributing to the external associate (consultant) contracting process. This will entail liaising with relevant stakeholders and team members to complete a range of different contracts in a timely manner. The role holder will also become the super user of the in-house CV & contracts database.

Main Responsibilities

Contracts Administration

  • Responsible for liaising with International Resourcing Advisors/Project Managers/HR to complete the issue of correct contracts/extensions/amendments for all contractors following project award. Responsible for co-ordinating with Associates to obtain the signature pages of the contract.
  • Responsible for following-up with contractors in a timely manner to obtain any additional/pending information.
  • Responsible for keeping the Contract status of all contractors updated on a daily basis.
  • Responsible for liaison with Legal Team for Legal queries.
  • Responsible for the formatting and authorisation process across all contracts with the Strategic Pursuits Director.

Due Diligence

  • Provide support, when necessary, to the IR Administrator and IR Advisors on completion of due diligence.
  • Provide support, when necessary, for ensuring that necessary approvals are obtained at key stages during the due diligence process in a timely manner.
  • Provide support, when necessary, to for providing regular and timely status updates to IR Advisors on the due diligence process for a particular contractor, and for flagging any potential challenges

Database management

  • Responsible for supporting IR Advisors, if required, to set-up engagements and maintaining data on the CV & contracts database
  • Provide support, when necessary, to for ensuring that all documentation relevant to the due diligence process is uploaded and maintained in a timely and accurate manner, for reference and compliance purposes
  • Responsible for supporting the IR function to source suitable candidates, if requested
  • Responsible for generating standard IR reports to help facilitate more informed decision making
  • Responsible for providing training and first line non-technical support to colleagues in using the database

Resourcing support

  • Responsible for supporting project teams to develop pen-portraits and formatting CVs to be included in EOI and/or RFP responses, if and when required

Any other duties as appropriate to the position, as requested.

About You

Applicants for this role are expected to have a sound understanding of recruitment process, particularly the post offer contracting and due diligence workflows. Proficiency in the use of and administration of applicant tracking systems or similar CRMs is a must, as is the ability to be able to communicate confidently to a range of internal and external stakeholders. Previous work experience within an international context would be a distinct advantage.
